How to Setup a Recurring Daily Routine in ClickUp

Stay Productive in ClickUp with this Daily Routine Task!

Are you a business owner or entrepreneur using ClickUp  And are you super frustrated with your daily routine and staying on track with tasks? 

I’m going to show you my super secret method to staying productive and on top of your most important tasks  inside ClickUp.

I use something called a DMO. Daily Method of Operation. 

A DMO as it appears in the Inbox

A DMO is simply just a recurring task. It appears every day at the same time with the same set of subtasks and checklists, you’re going to put this DMO task somewhere inside your workspace that’s an admin or headquarters List. (Remember, this task has to live in a List) 

The  occurrence is set to generate at 7:00 AM every day. With a schedule to be due two hours later. 

To Set the Occurrence: 

  1. Go into the due date and click Set Recurring  and Use Legacy Recurring
  2. Set the repeat Schedule (daily, weekly, monthly)
  3. Pro Tip: Set it to Copy the newest Task (in case you make changes on the fly)
  4. Select what status you want the task to be in when it occurs
  5. Make sure it’s on a repeat Schedule, Not a Trigger. So it happens every day, even if you forget to close the task! 

*I want you to notice something important* 

 This is on a repeat schedule. It’s not on a trigger. So if I forget to close my task, it’s still going to generate every single day. Then this allows you to track  what days are most productive using your DMO and what days you’re not because the tasks will stay in progress. The others  still generate.

DMO Occurrence Settings

You should put a  mini standard operating procedure inside the task description so that you and your team members know what this task is. 

An Example is: 

“ This is the DMO daily method of operation. The activities are to be completed in the order of priority below. Once the priority subtasks are completed, you move on to the checklist items and then you complete those accordingly.”

You want to separate your daily tasks and  Break them into manageable time estimates. No more than 15 minutes each. 

Here are some ideas and examples of subtask & CheckList Items: 

Subtasks (high priority) 

  • Brain dumping into Dashboard
  • Turn on Me Mode
  • Email Inbox Organization / Sorting
  • Email to do or replies
  • Calendar Updates
  • Organizing Other Workspace LineUps
  • Assigning Tasks and Organize Individual LineUp

Subtask Examples

Checklist: (normal priority) 

  • Schedule 3 overdue Tasks
  • Check / Clear CU Notifications
  • Check Projects Dashboard
  • Review Task Tray for Closed Items

 So let’s cover what (3) three features inside ClickUp to use  with your daily method of operation.

Embedding Examples: 

This is used with a CRM on a view when doing calendar updates or seeing a weekly schedule comparison on a dashboard. 

Dashboards Examples: 

  • Brain Dumping Dashboard
  • Projects Dashboard
  • Weekly Schedule

A Weekly Schedule at the everything level

Make sure that your DMO flows with your most used features so you can navigate ClickUp quickly and efficiently.  

It’s helpful to brainstorm and write down everything you need to do to plan your day inside ClickUp. Then turn those into a DMO Task Template. 

Final Pro Tip: 

Save a DMO Template inside your workspace and share it publicly with the rest of your team. 

Save your DMO Task as a template and share it with the team!

You can remind them to use Me Mode every day and add other important tasks to keep everyone on track and efficient every day.  If you save the legacy reoccurring settings, it will also save inside the template. They just need to click the link, add it to a specific list on their account and they’re ready to go!
